Have you ever replied or forwarded an email only to find that your signature is a different color or size than the rest of the message?

That can look very unprofessional when sending it on without correcting the format of the text.

There are a few ways to fix the text so that it matches everything else, but rather than fumbling through the menus only to find that the color is still off, you can use the very cool feature of Microsoft Outlook 2007 and above, called the Format Painter.

Save Early and Save Often

Save Early and Save Often, is a motto that I will frequently state, whenever someone tells me that they lost significant work, due to some unforeseen circumstance. In almost every program you might use, there is a SAVE option, in the FILE menu, but there is a quicker way to save your work, without leaving the keyboard.

To save your document, spreadsheet, email or what have you, just press:
Ctrl & S

This will save your work quickly, so that you can continue working without fear of loosing your hard earned progress. You can NEVER save enough, so use it all the time.

You can easily do this by first pressing the Ctrl & ‘ (apostrophe) key combination and then the letter you need the accent over.

For Example: resumé
Ctrl & ‘ then press the letter e

The word resumé has an accent over one of the “e” characters. So using the Ctrl & ‘ and then pressing the letter e, you will get the accented character.

Click on the Tools menu and choose the AutoCorrect option. This dialog allows you to automatically replace any series of characters, with another set of characters. For instance, how do you spell RELIEF? Well, if you always seem to flip the I and the E, you can simply put the Wrong spelling of the word, in the Replace field, and put the correct spelling of the word in the With field and Word will auto-magically fix the spelling immediately after you type it on the page!!

You can use this to type abbreviations for commonly entered text as well. Such as “mye@” could be replaced with the “myemail@myemail.com” address, or anything like that. There are already a bunch of corrections built in, but you are free to add as many as you need.

Using the Menu Shortcuts, mentioned in an earlier tip, you can also get to the AutoCorrect screen by pressing Alt, then T, then A. They don’t have to be pressed at the same time, but in succession.

EDIT: I just checked and this option is available in MS Excel and Outlook too.

Cut, Copy & Paste

Cut, Copy & Paste

Have you ever needed to copy information from one place to another? Although you can use the menu system to Cut, Copy & Paste. There are shortcut keys that will help you keep your hands on the keyboard.

Cut = Ctrl & X
Copy = Ctrl & C
Paste = Ctrl & V

In combination with the Alt-Tab shortcut below, you can copy information from one program into another very quickly. I use them all the time and find it MUCH faster than having to take my hand off the keyboard, to use the mouse.

These shortcuts are universal and will work in almost ANY program that you would ever use.
